📋 Getting started
What exactly is SevenTabs?+
A full accounting and light-ERP app for retail, trading and service businesses — invoicing, inventory, purchasing, payroll, multi-branch and real double-entry books, in one place. It replaces spreadsheets and separate tools with one system your whole team shares.
Do I need to install anything to try it?+
No. Sign in on 7tabs.org and you can run SevenTabs straight in your browser immediately. Native Windows, Mac and Android installers are also available if you'd rather have a desktop/home-screen app — see the Security & downloads section for what to expect the first time you run one.
Can I use it on my phone and laptop at the same time?+
Yes. Once your business is set up, every device you sign in on stays in sync in real time through your account — raise an invoice on your phone at the counter and it's already in the ledger when you open the laptop.
How do I invite my accountant or staff?+
From inside the app: Settings → Team, add their email and pick a role (Accountant, Salesman, Driver, Store Incharge). They get an email invite and sign in on their own device with their own login — no shared passwords, and each role only sees what it needs to.

How is the app laid out?+
A side rail on desktop/laptop, a bottom nav on mobile — grouped into sections like Sales, Purchasing, Money, and Team. The set of destinations you see changes based on your role, so nobody's menu is cluttered with screens they don't need.
Why don't I see some menu items other people on my team have?+
Menus are role-scoped on purpose. A Salesman doesn't see payroll or the general ledger; a Driver sees only their assigned deliveries. If something's missing that you need for your job, ask your Owner to check your role under Settings → Team.
Can I zoom the interface in or out?+
Yes — Ctrl/Cmd + mouse wheel, or pinch on a trackpad/touchscreen, zooms the whole app in or out, with a reset back to default. Handy on a large monitor or a small laptop screen.
What happens if I lose internet connection?+
SevenTabs is local-first — your device keeps its own copy of the data, so reading and browsing keeps working offline. To prevent two people editing the same record while disconnected and conflicting later, saving new changes is blocked (read-only) until you're back online, then everything syncs automatically.
What's on the Dashboard?+
KPI cards for Cash & Bank, Receivables, Inventory value and Net Profit, a "where your money sits" and "where you owe money" donut, and a cash/bank trend chart — a real-time snapshot of the business, not just a menu of links.
Can I quickly find a specific screen?+
Yes — the sidebar has a search box that filters the menu progressively as you type, so you don't have to hunt through nested groups.
🧾 Invoicing & sales
What's the difference between a Sales Invoice, Quotation, and Sales Order?+
A Quotation is a non-binding price offer to a customer. A Sales Order confirms they want it (with partial/back-order fulfillment support). A Sales Invoice is the actual billed, stock-affecting, accounting document. You can convert one into the next as a deal progresses.
Can I apply a discount to an invoice?+
Yes — discounts show as an explicit line item on the invoice document and PDF, not just a hidden number, so customers see exactly what was reduced.
How does credit vs. cash payment work on an invoice?+
You choose Cash, Bank, or Credit at the point of creating the invoice. Credit terms (cash, bill-to-bill, a fixed number of days, or a fixed amount) are set per customer, and due dates are computed from those terms automatically.
Can I edit or delete an invoice after saving it?+
You can edit an invoice as long as it hasn't been touched downstream (paid, part of a return, etc). Deleted invoices aren't silently gone — Owners have a full deleted-invoices audit view showing who deleted what and when.
What happens to stock when I save a sales invoice?+
Stock decrements immediately and the cost of goods sold posts to the ledger automatically using the item's costing method (FIFO/average) — real perpetual inventory, not a manual adjustment later.
Can my Salesman or Driver create invoices too?+
Yes, but scoped: a Salesman can invoice generally, while a Driver can only raise an invoice for their own assigned delivery, on the spot, with a simplified POS-style flow built for a phone in one hand.
How do partial payments work at the counter (POS)?+
The driver/salesman POS flow supports collecting part of the invoice total in cash and leaving the rest on the customer's account, rather than forcing an all-or-nothing payment.
Can I set a default salesman or price list per customer?+
Yes — each customer can have a default salesman (so commission and attribution are automatic) and their own price list, so regular customers don't need rates re-entered every time.
Do you support recurring invoices?+
Yes, for customers you bill on a regular schedule — set it up once and SevenTabs generates the invoice each cycle instead of you re-typing it.
Is there an approval step before an invoice is finalized?+
Optional invoice approval workflow is available if you want a second set of eyes (e.g. an Accountant) before a large invoice goes out.
Can I set a credit limit for a customer?+
Yes — set a credit limit per customer and SevenTabs enforces it, warning or blocking new credit invoices once they'd go over.
📦 Purchasing
How do I record a purchase from a supplier?+
Straight to a Purchase Invoice for a quick buy, or through the full Purchase Order → Goods Receipt Note → Purchase Invoice pipeline for a more controlled process with larger suppliers.
Do I have to use the full PO → GRN → Invoice flow every time?+
No — it's there for when you want the extra control (matching what you ordered, what arrived, and what you're billed for). Smaller or routine purchases can go directly to a Purchase Invoice.
What's the three-way match warning?+
When quantities or amounts on the Purchase Order, GRN, and Purchase Invoice don't line up, SevenTabs flags it instead of silently accepting a mismatch — catching supplier billing errors before they hit your books.
What's different about a Local vs. International purchase?+
International purchases support landed cost — spreading freight, customs, and other charges across the items so your per-unit cost reflects what it actually cost to get the goods in, not just the supplier's invoice price.
Can I set up standing/recurring purchase orders?+
Yes, for suppliers you order from on a regular schedule.
Is there an approval step for purchase requisitions?+
Yes — staff can raise a purchase requisition that routes for approval before it becomes a real purchase order, useful for controlling spend across a team.
📊 Inventory & stock
How is stock costed — FIFO or average?+
You choose per item: FIFO (first-in-first-out) or weighted average. Whatever you pick drives both the cost of goods sold on every sale and your inventory valuation on the Balance Sheet.
Can I scan barcodes instead of searching for items?+
Yes — the camera on your phone or laptop can scan a barcode directly into invoices, purchases, and stock screens.
What are batches and expiry tracking for?+
For products where it matters (food, pharma, cosmetics), you can track individual batches with their own expiry dates and bin locations, not just a single total quantity per item.
How do branch transfers work?+
Move stock from one branch to another with a transfer document; larger businesses can require the receiving branch to approve before it lands in their stock.
Can SevenTabs warn me before I run out of stock?+
Yes — set a reorder point per item and you'll get a low-stock alert before you're caught short.
Can I do a physical stock count and reconcile differences?+
Yes — enter your actual counted quantities and SevenTabs shows the variance against system stock and posts the adjustment for you.
Do you support unit conversions, like a box of pieces?+
Yes — a full three-level unit conversion (e.g. carton → box → piece), so you can buy in cartons and sell by the piece without manual math.
Do you support bill of materials / kitting?+
Yes — define a finished item as a set of component items, and assembling/selling the kit consumes the right components from stock automatically.
Can I track serial numbers on individual units?+

What's the difference between a Credit Note and a Debit Note?+
A Credit Note is a sales return — a customer sends goods back and you owe them (or reduce what they owe you). A Debit Note is the mirror on the purchase side — you return goods to a supplier and they owe you (or reduce what you owe them).
Can I return just part of an invoice?+
Yes, including partial returns down to a sub-unit — e.g. returning individual pieces from a box that was originally sold as a whole box.
Does a return automatically adjust stock and balances?+
Yes — both Credit and Debit Notes reverse the relevant stock movement and COGS, and update the customer's or supplier's running balance, exactly like the original document did in reverse.
📈 Accounting & reports
Is this real double-entry accounting, or just invoice tracking?+
Real double-entry — a full Chart of Accounts, Journal/Payment/Receipt/Contra vouchers, and every transaction (invoices, purchases, payroll, assets) posts to the ledger behind the scenes, producing a genuine Trial Balance, Balance Sheet, and P&L.
What reports are available?+
A full Reports Center: Trial Balance, Balance Sheet, P&L, Cash Flow Statement, Top Products, Sales by Salesman/Region, Expense/Income reports, aging summaries, and more — with date-range filtering on all of them.
Can I compare this period to last period?+
Yes — comparative reports show this period vs. last side by side.
Can I export reports to Excel or CSV?+

What's a Journal/Payment/Receipt/Contra voucher?+
The manual accounting entry points: a Journal Voucher for general entries, Payment/Receipt vouchers for money out/in (including cheques), and a Contra voucher for moving money between your own accounts.
Can I lock a period so nobody edits closed months?+
Yes — period lock / year-end close prevents backdated edits to a period you've already closed the books on.
Do you support cost centers, departments, or budgets?+
Yes — track cost centers/departments separately, and set budgets you can then compare against actuals.
Can a report be emailed to me automatically on a schedule?+

Cheques are tracked through their full lifecycle on a due-date timeline — issued, in-hand, deposited, cleared or bounced — with automatic numbering and the supplier/customer balance kept in sync at every stage.
Can I import a bank statement instead of typing transactions by hand?+
Yes — import a CSV/OFX bank statement and reconcile it against your books instead of re-entering every line manually.
What's petty cash for?+
A dedicated way to track small day-to-day cash spending separately from your main cash and bank accounts.
Can I transfer money between my own cash and bank accounts?+
Yes — a Contra voucher moves money between your own accounts (e.g. depositing cash into the bank) without it looking like income or an expense.

How does a payroll run work?+
Run payroll for a period and SevenTabs itemizes salary, overtime, and any advance deductions per employee; runs are editable and deletable before they're marked paid, and pending vs. paid salary shows as a real liability on your books.
Can employees take salary advances?+
Yes — record an advance against an employee, and deduct an adjustable amount from their pay over one or more future payroll runs.
Is overtime tracked separately?+
Yes — overtime hours are tracked and factored into payroll distinctly from base salary.

What happens when I dispose of an asset?+

What's SLA highlighting on deliveries?+

How does investor profit-sharing work?+
Record what an investor put into the business, set up their profit-share rate, and SevenTabs auto-posts their share on a monthly basis with a full statement of investments and distributions.
What's the difference between fixed-monthly and per-unit profit share?+
Fixed-monthly pays a set amount each month. Per-unit ties their share to actual sales volume of specific products, so it moves with real business performance instead of a flat number.
Can I scope an investor's share to one specific product?+
Yes — a per-unit rate can be scoped to just the product(s) that investor actually funded, rather than the whole business's sales.
Can I add an investment that's funded stock, not just cash?+
Yes — an investment can be linked to an item-scoped stock purchase, not only a cash contribution.
🏢 Multi-branch & multi-currency
Do I have to use multiple branches?+
No — pick single-branch or multi-branch mode at first-run. Single-branch mode hides all the branch UI so it stays simple if you only have one location; you can always grow into multi-branch later.
How does multi-currency work?+
You set one base currency for the business; individual transactions can be entered in a different currency with their own exchange rate, and period-end currency revaluation keeps balances accurate as rates move.
Is there a history of exchange rates?+
Yes — an exchange rate history table backs every revaluation and multi-currency report.
🔒 Security & downloads
Is my business data safe?+
Your account is protected by real password authentication plus a one-time code confirmation the first time a new device signs in. Every request is authorized server-side by Row Level Security policies scoped to your company — nobody, including another company's Owner, can query data that isn't theirs. All traffic runs over HTTPS.
Why does the Windows download show "Windows protected your PC"?+
That's Microsoft SmartScreen, and it's about code signing, not a virus scan result. New software only stops triggering it once its publisher has bought a certificate and built up a reputation with Microsoft over many downloads — it's not evidence anything is wrong with the file. Click "More info" → "Run anyway" to proceed. We're on the roadmap to get a signing certificate to remove this entirely.
Why does the Mac download show it's from an "unidentified developer"?+
That's macOS Gatekeeper — the same code-signing story as Windows SmartScreen, not a malware warning. Right-click (or Control-click) SevenTabs.app and choose Open, then confirm Open in the dialog that appears; you only need to do this once. We're on the roadmap to get an Apple Developer certificate to remove this entirely.
Chrome blocked my download as "insecure" — what happened?+
That specific warning means the page itself wasn't loaded over HTTPS at that moment (a brand-new domain's SSL certificate can take a little while to finish provisioning). Reload 7tabs.org and confirm you see a padlock in the address bar before downloading — once that's there, the "insecure download" warning goes away, since it's a mixed-content check, not a comment on the file.
Where is my data actually stored?+
In a dedicated cloud database (Supabase/Postgres) that only your company's authorized users can query, protected by Row Level Security. A local copy also lives on each device for offline access and speed, and syncs back up once you're online again.
Can I get my data out if I ever want to leave?+
Yes — every list screen (invoices, purchases, customers, inventory, ledger) has a CSV/Excel export, and every document has a PDF. Nothing is locked in a format only we can read.

Is there really a free plan?+
Yes — Starter is free for one branch and one user, with full invoicing, inventory, accounting and reporting. No credit card needed to start.
What happens after my trial ends?+
Right now, nothing is blocked automatically while we're still in early access — you can keep using your account. Once billing enforcement goes live, you'll get advance notice before anything changes, and you'll be prompted to pick a plan from inside the app.
Can I cancel anytime?+
Yes, no lock-in contracts. Downgrade to Starter or cancel from the Billing screen inside the app whenever you like.
Do you offer a Business/enterprise plan?+
Yes — for larger teams needing unlimited accounts, legacy data import (see below) and dedicated onboarding. Contact us and we'll work out pricing for your team size.
👥 Team & roles
What roles can I assign my team?+
Owner, Accountant, Salesman, Driver and Store Incharge — each with a different set of screens and permissions, so a Driver isn't staring at the general ledger and an Accountant isn't stuck on a delivery-only view.
Can a Driver only see their own deliveries?+
Yes — Drivers see only the deliveries assigned to them, can raise an on-the-spot invoice, collect cash, and pull up that customer's statement. They don't see other branches, other drivers' routes, or the general ledger.
Can I remove someone's access later?+
Yes, from Settings → Team as the Owner. They're removed immediately and get a notification email; their login stops working for your company right away.
🔄 Switching from Excel or Manager.io
I'm currently using Manager.io — can I import my data?+
Yes — SevenTabs has a dedicated Manager.io backup importer that decodes invoices, purchases, customers, suppliers, bank accounts, cheques, expenses, employees, fixed assets and journal entries directly from your .manager backup file.
What about a plain Excel spreadsheet?+
For now, migration tooling is built around Manager.io backups. If you're coming from Excel, tell us about your setup — for larger teams on the Business plan we offer dedicated onboarding help getting your historical data in.

I didn't get my team invite email+
Check spam/junk first — it's sent from invites@7tabs.org. If it's genuinely missing after a few minutes, ask your Owner to double-check the email address they invited, or reach out via the contact form below.
I forgot my password+
Use "Forgot password" on the sign-in screen inside the app. If you're stuck, email us and we'll help you regain access.
The Windows app won't open at all+
Make sure you unzipped the download fully before running SevenTabs.exe — running it directly from inside the zip can fail silently. If SmartScreen appeared, see Security & downloads above.
